Job Summary: The Administrative Assistant/Receptionist will offer an efficient and effective management of reception and administrative duties to support the trial.
Key Duties and Responsibilities:
Receive and channel participants to appropriate staff at the study site.
Review participants’ appointment cards and crosschecks with the appointment list, where indicated.
Ensure that participants are served refreshment by the Office attendants or designee while they are at the clinic.
Ensure a friendly and comfortable environment in the reception area.
Take care of the needs of the potential participants when they are ready to leave the clinic, for example arranging follow-up appointments and arranging for the potential participant to get reimbursement.
Perform secretarial service for the team including taking minutes for meetings, preparing presentation slides or letters where necessary, and format large reports.
Responsible for the front desk, and management of the participant tracking database.
Responsible for all incoming and outgoing mails and distribution to respective owners while maintaining a high degree of confidentiality.
Manage documentation and filing systems.
Occasional bulk photocopying and distribution.
Manage imprest and participant reimbursement
Qualifications, Skills & Experience:
The applicant should hold a Diploma in Business Administration, Social sciences, public Administration. A Degree in Secretarial studies is desirable.
At least three years’ experience in a similar role in an international Organisation or research based organisation.
Proficiency in computer use (MS word, Excel, Access),
Sound knowledge of procurement is desirable.
