We are looking for a spectacular Personal Assistant to support the daily needs of the Country Manager – Uganda in the recently established office.
The ideal candidate will be experienced in handling a wide range of executive and administrative support tasks and will be able to work independently. This person must demonstrate intelligence and independence of thought, and be very well organized, flexible, and enjoy the administrative challenges of supporting a Country Manager.
Key responsibilities include:
1. Secretarial support:
Take and relay accurate and timely messages from telephone callers, and answer queries where possible;
Collect and open all mail addressed to the Country Manager;
Manage Country Manager’s official expenditures and claims;
Draft, type and dispatch all the Country Manager’s correspondence;
Schedule meetings as and when required and ensure the Country Manager is well-prepared for the said meetings;
Coordinate the Country Manager’s personal schedule;
Any other duties as assigned by the Country Manager.
2. Time Management:
Maintain the Country Manager’s calendar, prioritize and schedule meetings;
Arrange travel plans and itineraries (domestic & international)
Help the Country Manager manage output, workflow and office deadlines;
3. External Relationship Management:
Act as the external contact point, providing phone support, screening and follow-up on phone calls
Ensure timely preparation of materials for meetings; take meetings notes and action points;
Coordinate both on and off-site meetings - travel planning and all other logistical support;
4. Administrative Functions:
Maintain and update corporate contact databases and a good filing system and retrieve information as and when required;
Guarantee that the Manager’s related administrative procedures are led in an efficient way in relation to costs and time;
Qualifications & experience:
Bachelor’s degree in a business field.
Must have proficient secretarial training and at least 2 years support experience.
Comprehensive knowledge of Microsoft Office
Key Competencies:
Must be generally good with computers.
Have experience working with external contacts at a high level;
Ability to multi-task and prioritize;
Strong attention to detail, organized and delivers within minimal time;
Excellent judgment and discretion;
Effective verbal and written communication with good time management skills.
Assertive and confident;
Requires minimum supervision;
Excellent interpersonal skills.

The Post: Registrar
Seeking and individual who has excellent customer service skills. The individual will be responsible for greeting prospective parents and guiding them through the admissions process.
Maintain accurate record of all places available at the school; maintain waiting list and manage placement test. Manage the maintenance of an accurate database of all new registration, current students and exiting students. Update weekly and monthly enrolment reports for Principal and GEMS Corporate Office.
Skills & Experience:
The successful applicant must be a Fluent in English with a minimum of two years in a customer focused role. Proficient in the latest computer packages with excellent secretarial, communication, interpersonal and organisational skills
Previous experience in handling student admissions and registrations within an international school would be preferred.
