Job Summary:  The Administrative Officer will offer consistently quality experiences to British Council internal and external customers by delivering an effective, efficient, and integrated response on the full range of activities and services executed by the Ugandan directorate. The job holder will generally provide administrative support to the British Council Projects Team as directed by the Head of Partnerships & Projects. In addition to the above, this post will also manage our front of house activities in offices in Kampala. The post holder is accountable for the delivery of high quality customer services to all walk in customers.

Job Context and Environment:
British Council Uganda is based in Kampala and offers a full range of programmes including
Examinations, project management on behalf of other donors, and its own grant funded projects.  It has also been lending support to our South Sudan Directorate. This post covers Uganda only. British Council has operated in Uganda since 1952 and its aim is to build cultural and educational relations between Uganda and the UK.

 Responsibilities:
·         Provision of administrative support to the projects team – this will entail:
                    i.            Managing events
                  ii.            Arranging travel for team members within and outside the country, collecting / collating scorecard data
                iii.            Coordinating project procurement activities in line with British Council financial policies and standards
·         Managing activities at the front of house in line with corporate standards and policies; this includes:
                    i.            Attending to all walk-in visitors and providing them a positive experience
                  ii.            Ensuring that all materials, equipment and systems required for managing walk-in customers are in place, are fully functional and are compliant to our brand standards
                iii.            Keeping logs of activity at the front of house and reporting as required on a quarterly basis.
·         Provision of support to the Country Director and Head of Partnerships. This entails scheduling and managing their appointments, travel and any other duties that may be assigned
·        



Special requirements of the Job:
Administrative work requires occasional work outside conditioned hours, for example in the evenings or at weekends. Overtime or TOIL should be agreed with the line manager in advance to maintain an adequate work-life balance. Post-holders may be required to travel abroad on British Council business and should therefore hold valid travel documents.
The front of house role requires the post holder to sit in the reception area from 8.00 am – 1.00pm every-day. The administrative duties detailed will be conducted in the afternoon, away from the reception area
The post holder must have high levels of reading and writing of the English language.
