Office Management

Programme Administration

Develop and maintain a documentation system with up to date information for all partners and volunteers.
Follow up on documentation including placement descriptions, volunteer CVs, partner acceptance letters, partner contracts as required.
Make volunteer payments in conjunction with the finance team
Supporting scheduling of Programme meetings.
Working closely with Programme manager and Deputy Country Director, develop and coordinate plans for Programme visitors, working with logistics staff to make the necessary arrangements.
With guidance from the Programme Manager, organize and coordinate all programme events, undertake all necessary documentation/reporting processes relating to these events.
Develop and maintain a system to manage Programme documents and records.

All visitors are warmly received and efficiently handled.
Deputy Country Director and Programme Manager are assisted to work more efficiently
Programme management activities are well planned and implemented in a timely manner.
Decision requests include all required information and are documented in the required/appropriate format and are submitted to the appropriate person on a timely basis.
Programme documentation is complete, up to date and filed efficiently (hard and soft copies).
Regular reports are set up to track the progress of project/programme.
Information use and storage protocols are in place.

Development and Delivery:

Transport

Maintain a log book for all tasks for all trips, fuelling and maintenance
Ensure vehicles are in sound mechanical condition ready for program activities, conducting daily checks and maintenance.
Maintain the vehicles in a clean condition at all times.
Ensure vehicles have all essential accessories such as umbrella, map, fire extinguisher, toolkit, torch, medical kit etc.
Conduct regular vehicle checks to ensure service schedules are adhered to.
Ensuring that vehicles are safe and secure at all times.
Plan routes and estimate requirements for field trips, preparing funding requests as appropriate.
Fulfill other duties such as picking up and delivering items and running errands.
Test drive office vehicles to be able to guide external service providers on what to do on vehicles; also to verify work done by external service providers upon return of the vehicle from the garage.
Logistical support
In collaboration with other key staff support logistics department with handling of house hold equipment for volunteers.
Take part in ICO sessions to help new volunteers in settling in their placements
Follow up on feedback from volunteers taking appropriate actions to address issues
Develop and maintain a documentation system for vehicles operations and liaise with administrative staff to maintain set guidelines.
Maintenance and servicing of the Generator including oil top-up and fuel top-up

• Manage stock and ensure “Look of Success” in all authorized 3rd party POS complies with Company approved standards.
• Help assigned 3rd party customer facing POS and teams grow to their full potential.
• Assist with the establishment and attendance of all assigned experiential sales/ market activations events. Interact with customers, demonstrate the Company value proposition (speed, quality, reliability, simplicity) and respond to queries. Record necessary customer details (prospect and activated) for entry into customer master database
• To be responsible for the safe keeping of any cash received from sales until it has been handed over to the Company Cashier or bank in a Company bank account and in full compliance with Company cash handling policies.
• Effectively plan own activities to ensure that sales and revenue targets are met and unproductive time is minimized.
• Maintain in good condition all tools of trade (“equipment”) issued by Company and ensure that they are returned to the designated Company person for safe keeping at the end of every day.
• Complete required daily, weekly and monthly reports and submit timeously to assigned manager as required. Make appropriate recommendations where necessary.
• Attending daily/weekly team meetings and activation events as required
• Provide any other ad hoc duties assigned from time to time by the Line Manager or any other person appointed by the Company for this purpose.
Job Requirements:
Education and experience
• Full valid driver’s motor vehicle licence
• 2 – 3 years of demonstrable successful operational sales experience in telecoms and/or FMCG, with distributor, territory, channel or other indirect channel sales experience
• Experience in the same or similar role in an ISP or telecom services provider, or experience gained in motivating others to sell B2B products advantageous
• Good spoken and written command of the English language
• PC Literate (MS Office, i.e. Word, Excel and PowerPoint, social media + Other)
• Local market knowledge
• Demonstrable successful Interpersonal and Networking skills
