Trocaire is an international NGO with a Headquarters in Ireland and with a Country Office in Kampala. We are currently recruiting for the position of Office Administrator in the Trocaire Country Office in Kampala.
Main Duties
1. Office Administration
Management of a good office working environment
Provide front desk services such as dealing with visitors, answering all telephone calls, requests from outside etc.
Dealing with equipment, stationary, office supplies, logistics, visitors, bookings, etc
Ensuring all services and contracts are up to date and operational for the Uganda office. This includes staff provisions such as health cover, life cover, accident cover etc.
Ensuring all filing is accurate, up to date and in the expected Trocaire system.
Liaising with service providers and other actors for the smooth running of the office.
Dealing with logistics and necessary administration issues.
Ensuring support on procurement with the Finance Manager.

 2. Finance
Responsibilities for the updating of accurate information on the Trocaire internet based Finance system.
Maintain up to date records of expenditure versus agreed budget.
Work closely with the Country Rep and Finance Manager on required financial reporting.
Prepare financial reports as required.
Ensuring Trocaire are up to date with statutory requirements in Uganda.
Manage financial tracking of receipts and payments and all of the necessary back up paperwork.
Maintain good working relationships with suppliers by prompt and accuarate payment.
3. Programme Support
Ensuring support to Programme Officers in funds transfers to partners.
Organisation of programme meetings, programme visits and partner visits.
Working with programme teams in organisating field visits/ hotels/ vehicles / logistics etc.
Requirement:
A relevant degree in Finance / Business / Administration or related fields with excellent computer knowledge especially in Microsoft Office suites
Ability to work on an internet based financial package.
At least 2 years experience in a similar role.
Flexibility, ability to work under pressure in addition to multi-tasking in a fast paced environment.
Good professional verbal and written communication skills and telephone etiquette.
Excellent organization skills, keen to detail, accuracy and a high level of reliability, objectivity and honesty.
A positive approach and an ability to contribute to a strong dynamic team.
An understanding of development work and the work of an NGO would be an added advantage.

Job Description
Position: Senior Medical Officer/ Study Coordinator (1 )

Key roles and responsibilities;
• Offer supervisory leadership and training to a study research team comprising of nurses, counselors, field workers, laboratory technologists and data management personnel.
• Provide technical support and develop clinic work plans and ensuring their implementation.

• Bachelor of Medicine and Surgery from a recognized university
• A master’s degree in Internal Medicine, Epidemiology, Public Health or other related disciplines is an added advantage
• Up to date registration with Uganda Medical and Dental Practitioners Council.
• At least 2 years post-internship proven knowledge and experience in HIV/AIDS and ART care.
• Proven experience in in-patient care of critically ill patients.
• Experience in conducting and supervising clinic visits to ensure that all clinical procedures are conducted according to National Recommendations and Guidelines.

Maintain monthly statement of reconciliation on all account receivable related balances to support end of month financial close balances.

Provide support to Management on ad-hoc requests and reports.
Maintain appropriate tax records where applicable in regard to Accounts Receivable.

Its mandate, functions and powers are enshrined in the National Audit Act, 2008. The main function of the OAG is to audit and report on the Public Accounts of Uganda and all public offices or bodies and/or organizations established by an Act of Parliament.
Pursuant to Chapter 1, Section L-a of the Government standing Orders as well as Section 2 of the Pensions Act, Chapter 286 (Laws of Uganda), the OAG was recognized by the Pensions Authority as “Other Public Service” w.e.f. 4th October 2008.

TERMS OF SERVICE: Permanent terms.
Main Purpose of the Job
To drive OAG vehicles as required and monitor their condition
Key Outputs
• Vehicles carefully and safely driven
• Condition of vehicles reported
• Record of vehicle movement maintained
MINIMUM QUALIFICATIONS AND EXPERIENCE
1. O -Level School Certificate;
2. Driving Permit for classes B and above;
3. Certificates in defensive driving, basic mechanics and/or vehicle fault diagnosis and troubleshooting;
4. Minimum of 10 years working experience in a reputable organization.
Key Duties and Responsibilities
1. Ensure the vehicle is driven as assigned.
2. Maintain accurate and up-to- date records on trips, vehicle maintenance, fuel purchases, incident reports, accident reports, vehicle condition and other records as required.
3. Ensure the vehicle is clean and tidy.
4. Ensure timely reporting of major mechanical faults on the vehicle.
5. Ensure the vehicle is parked safely at all times.
6. Drive OAG motor vehicles as instructed
7. Ensure maximum security of vehicle and its accessories when under his/her charge
8. Ensure safety of passengers and cargo under his charge
9. Monitor condition of vehicle and promptly report the condition to superiors
10. Maintain a record of movements for the vehicle(s) assigned to him/her
11. Carry out minor repairs and adjustments on the vehicles.
12. Report any accident incidents the vehicle gets involved in to the supervisor and police as required
