Job Title: HR Assistant
Person to Report to: HR Manager
Main Purpose of the Job
The HR Assistant is the initial contact person for staff, and all visitors contacting the HR Department. It is the responsibility of the HR Assistant to have readily available information regarding all staff information while providing a professional, courteous, and effective service.
Key Responsibilities
Employee Information
•Ensuring that the personal employee files are kept up to date with all relevant HR documentation e.g. appointment letters, confirmation letters, leave, up to date job descriptions e.t.c.
•Inputting correctly and ensuring data on all employees is effectively maintained in the HR database.
•Developing and maintaining effective liaison with Payroll master to ensure they have up to date information regarding attendance days on a monthly for contract, unionized and the management team.
•Provide data for and prepare monthly HR reports
Admin
•Organizing and minute taking at meetings for the HR Manager/HR advisors as required including meetings with trade unions; disciplinary and grievance hearings.
•Ensuring requisition approval and processing payment
•Processing invoices as required.
•Maintaining establishment structure charts and vacancy profiles liaising with line managers, Workforce Information team and Payroll as required ensuring compliance with operational procedures
Employee Relations
•Types all memos/ communication from the department to staff
•Provide support in investigations for disciplinary and grievance procedures
•Draft responses to written and verbal inquiries from a variety of internal and external sources for the purpose of resolving problems, providing information and/or referring to appropriate personnel and/or identifying the relevant issues and recommending or implementing a remediation plan.
•Assisting with the day-to-day efficient operation of the HR office
Minimum qualification:
•Bachelor's degree (honors) in Industrial/ Organizational Psychology, Human Resource Management or related field from a recognized Institution.
Minimum experience:
•At least one year (1) years hand on experience in human resource management.

Required Knowledge:
•Basic understanding of human resource functions.
•Knowledge of all related computer applications
•Understanding of human resource reporting and recordkeeping requirements
•Exposure to the Labour Laws of Uganda
