SECRETARY

The Uganda Virus Research Institute (UVRI) has signed an MoU with the U.S Centers for Disease Control (CDC) to strengthen Institute capacity through the management and coordination of laboratory surveillance, epidemiology, public health evaluations and training in Uganda under the President’s Emergency Plan for AIDS Relief. Under this cooperation, UVRI intends to recruit the following personnel on a one year contract to be renewed depending on availability of funds. All positions are based at Entebbe.
Main Purpose of the Job
To provide secretarial and office administrative support to the project
Key Duties and Responsibilities:
Carry-out reception duties, including attending to telephone calls, welcoming visitors to the project and directing them as necessary.
Receive in-coming mail, sort, and distribute them as necessary.
Maintain a diary for meetings, workshops and visitors of the project.
Book venues for meetings and workshops.
Assist project staff in organizing documentation and other logistics required for meetings or workshops
File documents assigned to his/her office appropriately
Type correspondence and other official documents as assigned
Take charge of the records management function of the project
Undertake any other duties that may reasonably be assigned by the UVRI Administrator, UVRI Director, or any of the other managers of the project
Requirement:
At least a Diploma in Secretarial Studies with 2 years of secretarial and clerical administration work preferably in training institution is' an added advantage. Good interpersonal, communication, organizing skills are desirable.
