Job Summary: The Receptionist/Admin Assistant will serve as the first point of contact with external visitors and callers, and as the last point of contact with some internal functions. He/she provides administrative support with a variety of clerical activities and related tasks for the Country Office. He or she shall be responsible for coordinating and following up actions that arise out of day to day interaction to the satisfaction of both internal and external parties involved.
Responsibilities:
Answer all incoming telephone calls and direct calls to the appropriate person/department; take messages as needed.
Screen people seeking access to the Country Office.
Record incoming service requests, complaints and incident reports in a helpdesk system and follow up with internal and external parties to completion.
Sort and distribute mail; prepare outgoing mail and packages; accept packages delivered within a software tracking system.
Perform typing, photocopying, data entry or other clerical tasks as needed.
Perform administrative tasks such as ordering, receiving, stocking and distribution of office supplies and monitoring and maintaining office supply inventory
Assist health cover members with service related queries.
Participate in the quality improvement process.
Admin tasks in the office e.g. coordinating IT support with external company, water.
Liaison between Country Departments and Group level functions
Production of reports such as Helpdesk reports and mail costs reconciliation
Perform any other duties as assigned by the supervisor.
Qualifications,
The applicant should hold a bachelor’s degree or diploma in a related field.
Skills and Experience:
A minimum of two years’ administrative support or receptionist experience
Secretarial support training.
Excellent knowledge of Microsoft Word especially Ms Word, Excel and Outlook.
